Job Title Payroll / AP Coordinator*

I.  Job Summary

The purpose of this position is to ensure that the weekly payroll for employees of Cataldo Ambulance Service, Inc is properly completed and submitted for processing in a timely manner.  This position is also responsible for ensuring that the weekly Accounts Payable process is completed accurately and efficiently. This requires effective organization of the Payroll and Accounts Payable processes and consistent monitoring of the company’s documentation process as well as State and Federal regulations

II.  Duties and Responsibilities

  • Entering of new hires, employee changes voluntary deductions in the payroll system
  • Processing of manual checks such as terminations and discrepancies
  • Prepare and process hourly and salaried weekly payrolls
  • Prepare and process garnishments
  • Calculate new hire pay, termination pay, and any required adjustment to normal pay
  • Processing stop payments or adjustments of payroll
  • Calculate bonuses as requested
  • Ensure that computing, withholding, and deductions are done correctly
  • Responsible for year-end payroll reporting.
  • Knowledge of wage and hour laws
  • Processing of weekly vendor invoices.
  • Maintenance of Accounts Payable database ensuring the accuracy of new vendors.
  • Retention of records for all related documentation.
  • Contributing to team effort by accomplishing related duties as needed.

III.   Job Impact

The Payroll/AP Coordinator works interactively with the Human Resources Department for the coordination of personnel documentation and benefits administration.  The Payroll/AP Coordinator also must interact with company vendors, and as such, must ensure that Cataldo Ambulance Service, Inc. portrays a sense of professionalism with respect to it documentation and interpersonal relationships both internally and externally.   

IV.  Job Authority

The Payroll/AP Coordinator reports directly to the Corporate Controller.  The Payroll/AP Coordinator maintains authority over the entire payroll process for all employees and is responsible for the proper documentation for employee’s payroll records. 

V.  Qualifications

Bachelor’s Degree in Business Administration or related field is preferred. High School diploma or equivalent with relevant work experience considered.

2-3 years experience working in payroll processing.  Knowledge of Kronos payroll systems is desirable.  

Must be computer literate and possess experience in MS Word, PowerPoint, Excel, Access and Outlook. 

Must demonstrate effective communication skills by conveying necessary information accurately, listening effectively and asking appropriate questions when clarification is needed. 

Must be able to be depended upon to plan and organize work effectively and ensure its completion in a timely manner.

Must be able to demonstrate team behavior and must be willing to promote a team-oriented environment.
